What personal data do we collect?
We collect a variety of personal data to process your application for a specific advertised job for a specific client. This data is processed on the lawful basis of legitimate interest and is stored on secure and highly confidential databases – see the section below on information storage. When you apply for a job with us online either via job boards or directly via our website, we ask you for your name, contact telephone number, email address, skype address and Curriculum Vitae. We may also collect your data, relating to a specific role, from CV databases or professional social media sites such as Linkedin.
On applying for a job, we may additionally ask for supplementary (non-sensitive) data relevant to the job application including, for example, employment history, qualifications, our interviewing process and your eligibility to work in the UK. We will collect information on our contact history with you and records of our interactions and interviews with you.
We may collect data from social profiles that are relevant to professional experience and qualifications and from profiles which are publicly accessible and from which there is a reasonable assumption that you will be contacted e.g. LinkedIn, GitHub. We do not collect data from personal social profiles e.g. Facebook. If we have collected your data from CV databases we will advise you within 2 weeks of us assessing your data that we are interested in you making a formal application for a role. We will only process your data from CV databases once we have your explicit consent to do so.
Why do we collect this information?
We will only use your information to verify your suitability for the job you have applied for and with your explicit consent (a) send your CV to the clients relevant to the job application and (b) to keep your CV and contact information for the duration of the placement process. See the section below on how long we keep your data.
During your job application, we will also send you acknowledgements via email and we may use your telephone number or email to contact you regarding your job application. We require this information to process your application for the job role.
What do we do with your information?
By applying for a job through Loyal Retainers, acting as an agency on behalf of our clients, you are indicating your willingness to have your information stored by Loyal Retainers and accessed by its staff and associates. We may share your information with our clients for the job which you have applied for but no representation is made on your behalf without your express permission to share your personal data with them.
Your information is stored in: –
- Our E-mail and file storage system (Office 365) which is based in the EU and which demonstrates effective safeguards of your information.
We only use your data for recruitment purpose only. We do not use the information you provide to make any automated decisions that might affect you. We only pass your data onto the client relevant to your job application and we do not pass your personal data onto any third party.
How long do we keep your information for?
We commit to contact job applicants within thirty days of their application. We keep your information for 1 Year after applying for a job with us. Your personal information associated with the job application will then be removed. With your explicit consent we may also keep your information for roles that may come up in the future, If you are willing to consent then we may keep your information on file for 3 years.
Your rights over your information
By law, you can ask us what information we hold about you, and you can ask us to correct it if it is inaccurate or incomplete. You can ask for your data to be removed entirely from our systems.
We do not generally collect sensitive data, but if we are instructed by the client to lawfully collect this information will ask for your explicit consent and we will provide you with clear instructions on how to withdraw your consent should you wish to do so.
You can also ask us to give you a copy of the information and to stop using your information for a period of time if you believe we are not doing so lawfully.
